Apostille vs Authentication in Indiana: What’s the Difference?

When preparing documents for international use, many Indiana residents are unsure whether they need an apostille or an authentication. Although both certify documents for use abroad, they apply to different countries and follow different procedures. Choosing the wrong one can result in delays, rejected paperwork, or missed deadlines. Here’s a simple, clear breakdown.

🔵 What Is an Apostille?

An apostille is a special certification used by countries that are part of the Hague Apostille Convention. It simplifies the process and replaces the need for embassy legalization.

If your document is going to a Hague Convention country, an apostille is all you need.

Common Hague Countries:

  • Mexico

  • Italy

  • Spain

  • Brazil

  • Philippines

  • South Korea

  • Colombia

  • France

  • Germany

For these countries, the Indiana Secretary of State issues a single apostille, and your document becomes immediately valid abroad.

🔵 What Is an Authentication? (Non-Hague Countries)

An authentication is used for countries not part of the Hague Convention.

These documents require:

  1. State authentication from Indiana

  2. U.S. Department of State authentication (for federal docs)

  3. Embassy or consulate legalization in the destination country

This is a multi-step process.

Common Non-Hague Countries:

  • China

  • Qatar

  • UAE (certain uses still require full legalization)

  • Egypt

  • Vietnam

  • Kuwait

  • Lebanon

If you submit an apostille to a non-Hague country, it will be rejected.
